Responsibilities: • Provide detailed Procurement & Business Process Support to all company users of Oracle R12, via Service Now, Procurement Mailbox & Procurement Helpline. • Build a long term sustainable relationship with all company & Local Authority users of Oracle R12 to act as a central point of contact to channel any procurement related queries. • Facilitate Oracle System Training & Procurement Compliance Training with particular emphasis to ensuring that all spend on the companies Oracle system is compliant with, Public Procurement Policy, HSQE & Tax legislation. • Facilitate Local Authority Procurement Community calls ensuring all matters relative to procurement are communicated effectively coupled with championing continuous business process improvements. • Continually update training materials as new query types are identified as a result of monitoring information / queries that are received through the various contact channels. • Ensure the supplier registration process is compliant with the established procedure & that all registrations comply with current Tax & HSQE legislation & implement roll out across remaining operating units within the group thus ensuring strong internal controls & quality compliance with HSQE & tax. • Control the management of the IW approved supplier list & ensure that it is updated in a timely manner by HSQE. • Continually improve the supplier registration process by updating the WIP tracker used by all stakeholders in the process (regional op’s & HSQE) to ensure quality information is captured in a timely manner and visible by all. • Manage all Oracle R12 user procurement queries & supplier queries within 2 day KPI. Role: • Provide training to all users on the PD2 thresholds that are consistent with the contents of the Utilities directive, ensuring that users contact relevant buyers to run competitions within relevant thresholds. • Maintaining stats for KPI records, and using the information gathered from the queries to develop a blanket communication to Local Authorities if appropriate or amend training material to deal with the issues if appropriate, ensuring continual monitoring of information and initiative to update processes as required. • Assist with the UAT testing of any Oracle system changes, in particular Oracle Sourcing Project and associated training. Assist with creation of user & supplier training material for Oracle Sourcing. Experience: • Minimum of 1 years’ experience in a Procurement and/or a Business Process Support function would be essential. • Relevant experience in the Utilities industry, Oracle & Excel experience is desirable. • Ability to assess and execute programs, policies and initiative operational needs. • Experience in developing and maintaining effective strategic partnerships and long-term sustainable relationships with key stakeholders both internally and externally e.g. Local Authorities and suppliers. • Previous experience working as part of a team, in a demanding working environment. • Excellent verbal and written communication skills with the ability to convey and adapt messages in a clear manner as required based on the business hierarchy being communicated with. • Proven effective time management skills with the ability to prioritise and remain focused. • Flexible with regards working in a changing environment and the ability to adjust to new work structures, processes, and requirements as necessary. • Proactively identifying new areas of learning and using newly gained knowledge and skill on the job. • Striving for quality and ensuring consistent high standards of work. • Ability to take initiative, manage conflicting responsibilities and provide constructive input.
