Role Responsibilities: Coordinates internal meeting logistics, as needed – including conference room reservations, company requirements and food arrangements (calendar invite will be sent out by the meeting organiser. Appropriately plan/order supplies, snacks and beverages. Maintains sufficient inventory levels to meet office needs. Coordinates with building management and contractors to manage the facility for optimum productivity for employees. Maintains office efficiency by planning and implementing office systems, furniture layouts, and office supplies, when necessary. Provides general administrative assistance to Administration Manager, including assistance with travel arrangements, expense reporting. Gathers receipts, obtains third party approval and sends to accounts payable for processing. Reconcile corporate credit cards using Concur expense tracking software. Interact with other departments and locations to ensure consistency in office and culture management across the organization. Welcome visitors, answering the door, etc. Plan and coordinate events and working group lunches as needed. Maintain general upkeep of office, including kitchen supplies and cleanliness, office supplies and organisation. Maintains cleanliness of common areas. Exercises discretion and judgment regarding highly confidential internal and external Company information and within generally defined practices and policies. Handle all mail and deliveries. Special tasks as assigned. Role Requirements: Experience as an office administrator, or relevant role. Experience exercising discretion and judgment regarding highly confidential internal and external company information and within generally defined practices and policies. Excellent written/verbal communication and interpersonal skills. Detail oriented and possess a pleasant, optimistic, positive and professional attitude; employee focus is key. Proactive problem-solving skills with an aptitude for quick learning. Flexible and well organised. A self-starter with demonstrated ability to work independently. Excellent knowledge of MS Office and office management software.
