Job Description-Medical Practice Manager. Consultant Dermatologist practice at the Lee Clinic Cork are currently looking to recruit a Practice Manager. Permanent Full-Time Contract. Monday – Friday. Main Role: To oversee and manage the daily operations of the practice by implementing best practice across all areas in the company. To promote excellence in the standard of care delivered to all patients of the practice. Key Responsibilities: Patient Journey & Experience. Maintain a culture of patient care and ensure an ongoing focus on improving the quality of the patient experience. Oversee the bookings process and ensure the highest level of communication and professionalism. Ensure that admin processes and workflows are effective and efficient. Deal with patient feedback and escalate where necessary. Ensure that patient information materials and website content are updated and kept current. Our People - Leadership and Development of the Team. Directly manage, develop, evaluate and motivate staff, with the aim of building an effective and engaged team. Provide leadership to the team, through regular meetings, objective setting, and effective communication. Ensure required staffing levels are in place. Induct new staff into practice processes. Manage admin roster to ensure adequate cover and monitor / adjust in line with seasonal requirements. Conduct bi-annual staff appraisals for admin in conjunction with relevant parties. Ensure compliance to proper conditions of employment, to include current employment legislation and recognised good practice. Business & Operational Functions. Ensure a proactive approach to all daily, weekly and monthly tasks within the administrative function. On-going management of all third party and in house ancillary services. Maintain computerized record management systems in conjunction with contracted IT support. Ensuring compliance with GDPR. Responsible for supplies, both medical and administrative. Ensure facility and equipment is in good condition. Maintain high standards of hygiene. Communicate and implement company policies in line with relevant legislation. Participate in regular meetings with employers to ensure efficient organisation and completion of team work and provide feedback. Financial. Manage day to day financial function of the practice, ensuring that daily sales and takings are reconciled, manage petty cash. Conduct and administer fiscal operations, including accounting, planning budgets, authorizing expenditures, establishing competitive rates for services, and coordinating financial reporting. Responsibility for billing insurance companies and reconciliation of accounts. Approve and oversee monthly payroll process for staff in the practice ensuring information is provided to accountant within monthly deadlines. General. Observe a professional manner at all times, representing the values and ethos of the practice. Promote the efficient and effective delivery of services. Any other duties as deemed appropriate by the employer. Position Requirements: Previous management experience in a medical or dental practice or other relevant management experience is desirable. Senior administrator experience. Strong people management skills, and the ability to manage a team. Strong business development acumen and experience working in roles managing people and budgets. Planning and organisation skills, and the ability to deal with several tasks simultaneously. Excellent interpersonal, communication and telephone skills. Attention to detail. Critical thinking. Adaptability, and flexibility to approach and availability. Problem solving and ability to work on own initiative / decision making skills. Ability to work under pressure and tight deadlines.
