OVERALL RESPONSIBILITY: To provide support to the Human Resources Department in order to achieve maximum efficiency and associate satisfaction. JOB FUNCTIONS WITH PRIME RESPONSIBILITIES: Recruitment and Selection: Responsible for liaising with Managers and Directors to gather information relating to recruitment needs for positions and posting of all positions on the Vacancy List, ADP and external job boards. Conduct interviews, check references with previous employers, send job offer to agency/candidate, draw up offer letters, standard contracts and relevant documentation for all new starters. Reporting and Systems: Monthly reporting on absenteeism, performance reviews etc to be completed. Ensure that the HR systems are updated promptly and accurately. Employee orientation, development, and training: Review and manage new starter and leaver processes by ensuring all documentation is completed, conduct 6 weeks job chat, risk assessments and exit interviews etc. Carry out Company induction Programme within specified timeline. Carry out an ad-hoc training required to managers and non-management. Payroll, Benefits, General Administration: Assist Director HR with monthly check of timesheets and approval of payroll. In the absence of the DHR approve the timesheets for processing and approve payroll. Arrange for registration of Associates for benefits e.g.: Health care, discount card, pension, life assurance etc and issue the quarterly Benefits Newsletter for the Cork Office. Maintain and update filing systems on a regular basis and ensure all documentation is kept confidential as required. Responsible for administrative duties within the HR department e.g work permits. Employee Relations: Liaise and support all employees and managers through counselling and advising. Assist with promoting and driving the company values and culture. In conjunction with the DHR advise and assist managers in all Disciplinary and Grievance Situations. Provide guidance to management on employee related issues. Provide advice and assistance while ensuring consistency on HR policies, procedures, systems and reinforce adherence as appropriate. Europe Middle East (EME) Human Resources: Administer EME projects for the Regional HR Director. Liaise with EME HR departments to coordinate exercises such as Core Leadership training, EME headcount reports etc. Communication: Communicate and update all associates both written, verbally and via noticeboards of relevant company information. Conduct manager’s and attend departmental monthly meetings to cascade HR related topics. Conduct HR Surgery monthly to provide guidance and support to associates with any queries. Other Duties: Provide coverage when necessary for the MVCI Receptionist. Assist in the Health, Safety and Welfare of all associates within the Cork office and updating the Health and Safety Statement. Candidate Requirements: Must be qualified or studying towards a Human Resources qualification/CIPD. Previous experience in Human Resources/Administration essential. Other: Fluent English essential. Perform other related tasks as assigned by management. Comply with MVW polices and procedures. Maintain an attitude and commitment to provide excellent service to all customers and associates. Respond sensitively to the needs and feelings of others, regardless of status of position; accept interpersonal differences and maintain a constructive rapport with all associates and customers. Maintain computer systems knowledge (Outlook, Word, Excel, PowerPoint etc. Have a working knowledge of all MVW product lines. Be proactive and have a flexible approach to work, meeting the needs of the team and the business at all times.
